How to Choose an IT Provider for Your Therapy Practice

Choosing an IT provider for a therapy practice isn't the same as hiring one for a retail store or a law firm. When your organization handles protected health information (PHI), the stakes are significantly higher — both for your patients and for your regulatory compliance obligations under HIPAA.

1. Verify HIPAA Expertise First

Not every managed service provider (MSP) understands HIPAA requirements. Before signing any contract, ask whether the provider offers Business Associate Agreements (BAAs), conducts regular risk assessments, and has experience with behavioral health or healthcare clients specifically. A generalist MSP may check boxes on a compliance spreadsheet without truly understanding the clinical workflow implications.

2. Evaluate Their Security Stack

A credible IT provider for therapy practices should offer a comprehensive security foundation, not just antivirus software. Look for identity and access management (IAM) with multi-factor authentication (MFA), endpoint detection and response (EDR), encrypted backup and disaster recovery, and 24/7 network monitoring. These aren't optional extras — they're baseline requirements when patient data is involved.

3. Ask About Compliance Documentation

HIPAA audits happen, and when they do, you need documentation proving your technical safeguards are in place. Your IT provider should maintain access logs, security incident records, risk assessment reports, and policy documentation on your behalf. If a provider can't show you sample audit documentation, that's a red flag.

4. Consider Industry Specialization

Therapy practices have unique needs: EHR integrations, telehealth platform support, shared office environments with multiple practitioners, and patient communication channels that must be encrypted. An MSP that specializes in healthcare or behavioral health will understand these workflows from day one, reducing onboarding time and the risk of misconfigurations.

5. Understand the Pricing Model

Most MSPs price per user, per device, or on a tiered service model. For therapy practices, a tiered approach often makes the most sense because it bundles the essential compliance tools into the base package. Be wary of providers who quote low base prices but charge extra for HIPAA-critical features like encrypted email or backup.

6. Look for Strategic Partnership, Not Just Break-Fix

The best IT providers act as virtual CIOs (vCIOs) for your practice, conducting quarterly business reviews, planning technology roadmaps, and proactively identifying risks before they become incidents. If your provider only shows up when something breaks, you're paying for reactive support rather than strategic partnership.
